Job Description

Primary responsibilities: To support the Board of Directors and Department Heads (departments that provide services to clients) in the Hanoi office in carrying out the following HR management functions (for a total workforce of approximately 60-80 employees):

1. Promote the Company's Core Philosophies: Based on the directions of the Board of Directors, implement corresponding activities, which may include: communicating to all employees (through appropriate media channels, publications, and recreational activities), providing training on core philosophies, proposing revisions to company policies to align with core philosophies, conducting surveys, observing and reminding employees of any deviations from core philosophies,…

2. Recruitment Support: Receive recruitment requests from departments, then hand over and supervise the recruitment team to carry out the recruitment process, and/or directly participate in the recruitment process when required.

3. Onboarding New Employees: Serve as the point of contact for new hires, coordinating with relevant departments to ensure complete and timely onboarding procedures in accordance with company regulations. This includes initial training and orientation on employee policies, corporate culture, and internal procedures.

4. Offboarding Employees: Serve as the point of contact for departing employees, coordinating with relevant departments to ensure complete and timely offboarding procedures in accordance with company regulations.

5. Advise and Support client -service departments: Advise and support client-service departments (departments providing services to clients) on taking care of their staff, conducting periodic performance evaluations, addressing policy violations, resolving interpersonal conflicts, and receiving employee feedback on company policies.

6. Budgeting: Prepare the annual budget for all HR-related activities within the Hanoi office to support planned activities. This will be carried out using existing templates and proactively updated based on actual circumstances.

7. Manage and suppervise HR & Admin Staff to carry out the following tasks:

  • Managing office hygiene
  • Inputting and updating employee information and documents in the HR software, collecting and archiving hard copy documents (if any).
  • Regularly communicating and reminding all company employees about policies, regulations, and important company events.Conducting employee surveys to gather feedback on all aspects of the company, or to measure their awareness of company regulations and identify training needs.
  • Participating in organizing annual events (company trips, health checks, company birthdays, year-end parties, etc.).
  • Drafting and communicating decisions from the Board of Directors and Department Heads.
  • Handling matters related to social insurance, maternity leave, trade unions, etc.
  • Propose Policy Revisions: Stay informed about labor market trends and relevant legal documents. Proactively propose revisions to employee policies and internal regulations to the Board of Directors to ensure they remain current, competitive, and legally compliant.

Requirements
